Monday Minutes: Batch Item Deletions

In this week's Monday Minutes, Kelly and Jessie walk through the multiple ways staff can batch deletion items.

Gathering the Items to Delete

There are many ways to add items that a library would like to delete to the Batch Item Deletion Tool. The Batch Item Deletion option lives with the Cataloging Module.

1. Jessie showed us how to use the Item Search in Koha to collect barcodes of the items we were going to delete.

2. The batch item deletion tool, barcodes can be scanned in.

3. A report can be run with Koha to gather the barcodes of the items to delete or the item numbers.

Report Options

When creating reports within the Koha report library, the option of taking the results and sending them right over to the batch item tools, such as Batch Item Deletion, Batch Item Modification, can be used when the report includes the item number.

The report that Jessie used in the video was looking for all withdrawn items in the system:

select itemnumber, title, items.itype
from items
left join biblio using (biblionumber)
where withdrawn!=0

Note: If the report uses SELECT biblionumber, then the option to 'batch record modify', and 'add to a list' will appear.

Using the Batch Item Deletion Tool

From the Batch Item Deletion option, found within the cataloging module, staff can upload the barcode file created in the Item Search, or scan in barcodes right into the box.

When staff start creating a report and taking those results into the tool, they will be brought directly to the next step.

Once all items have been checked to delete, at the bottom of the page, there is an option to delete the records if no other items exist. This will save a step if, in fact, these records should be deleted.
