Our Commitment To Data Security

To prevent unauthorized access, maintain data accuracy, and ensure the correct use of information, we have put in place appropriate physical, electronic, and managerial procedures to safeguard and secure the information we collect online.

ByWater Solutions provides libraries with installation and support of a variety of open source solutions. The following document provides an overview of how we host, use, secure, and support your software installation and data, including what circumstances data may be shared with other 3rd party service providers.

Ownership of data

ByWater provides a single tenant secure cloud environment for partners for the purpose of implementing open source solutions supporting library operations. ByWater does not own either the source code implemented or the partner’s data. ByWater does own certain configuration information in relation to a partner solely for the purposes of deployment and maintenance of partner software.

Types of data collected

Patron data

Data that can identify the patron includes username, password, contact information such as address, phone number, and email address. In these cases data is transmitted using SSL encryption and stored on disks that are encrypted both at rest and within the database.

Partner data

Data that can identify the partner includes credentials for connecting SIP and other devices to the partners software, partner specific credentials for connecting to 3rd party services, and data extracted from reports to upload to 3rd party services

Operational data

Operational data includes information required for the deployment and maintenance of the partner’s software and logging of software usage primarily in the form of system logs and performance monitors. This data includes connectivity to services both ByWater hosted and 3rd party, errors encountered with operations of partner software, and status of process execution such as timed jobs and reports. Operational data also includes system level backups as well as layer 3 (IP address) connection information.

Use of data

Patron data

Patron data is stored and used in a single tenant environment on encrypted filesystems for the operation of the partner software. Patron data is shared between the partner and ByWater Solutions solely for the purpose of ByWater staff to execute and support partner operations.

Partner data

ByWater Solutions will collect and store this class of data within the partner’s individual tenancy on an encrypted filesystem. ByWater will also data of this class when required for deployment and maintenance within an internally encrypted keystore only accessible by ByWater staff for the purposes of deployment, maintenance, and upgrade of software configurations.

Operational data

ByWater Solutions maintains logs of software usage within the partner’s individual tenancy on an encrypted filesystem. Layer 3 logs are occasionally turned on to diagnose connection issues. The purpose of these logs are for providing operational support and troubleshooting and are used for those purposes only.

System backups are encrypted and stored on both local and offsite servers and transmitted using SSL encryption.

Sharing of data

Patron Data

Patron Data will be shared only as required by the operations of the partner software. This can include passing of information to 3rd party authentication and electronic delivery services. Sharing of this data must be agreed to in writing between ByWater Solutions and the partner. ByWater staff will have access to this data solely for the purposes of supporting partner operations.

Partner Data

ByWater Solutions will share this data with appropriate 3rd party providers only at the written request of the partner. This applies to both daily operations and troubleshooting issues reported by the partner.

Operational Data

ByWater Solutions will occasionally share logs in this class of data with upstream providers solely for the purposes of troubleshooting operational issues. ByWater Solutions will also transfer local backups occasionally to an offsite provider location in which case data is encrypted before transfer, during transfer, and at rest.

You can correct factual errors in your personally identifiable information by sending us a request that credibly shows error.

To protect your privacy and security, we will also take reasonable steps to verify your identity before granting access or making corrections.
